Job Description

Position Overview

Ultimate Staffing Services is actively seeking an experienced Office Administrator to join their client's growing team in San Jose, California. This organization, a leader in recycling and waste diversion for 40 years, is experiencing growth following a private equity investment in 2021. Founded on principles of environmental sustainability, innovation remains central to its operations and strategy. The company specializes in material collection, processing, and sales, tailoring services to meet the needs of customers and communities while helping shape the future of the solid waste and recycling industry. The Office Administrator will work from the corporate office located at 2540 North 1st Street, with limited job-related travel as needed.

Responsibilities

Front Desk Duties

  • Greet and assist visitors, clients, and vendors professionally.
  • Maintain a tidy and organized reception area.
  • Answer, screen, and direct incoming calls and emails.
  • Manage incoming/outgoing mail and deliveries.
  • Monitor office access and follow security protocols.

Administrative Support

  • Oversee daily office operations and ensure supplies are stocked.
  • Schedule meetings, appointments, and travel arrangements for ELT and VPs.
  • Assist with onboarding new corporate employees.
  • Prepare reports, spreadsheets, and presentations.
  • Coordinate office events and safety initiatives.
  • Must be able to drive for work-related purposes.
  • Perform other duties as assigned.

Qualifications

  • High School Diploma or equivalent required; Associate's or Bachelor's in Business Administration preferred.
  • 1-2 years of experience in a front desk or administrative role.
  • Valid Class C driver's license.

  • Proficient in Microsoft 365, including SharePoint.
  • Ability to synthesize complex information quickly.
  • Ability to manage medium to high-stress situations.
  • Strong communication, analytical, and interpersonal skills.
  • Detail-oriented and self-motivated.
  • Strong organizational and multitasking abilities.
  • Project management and accountability.

Language Skills

  • Proficient in English (verbal and written).
  • Spanish language skills are highly favorable.

Physical Demands

  • Ability to push, pull, and lift 25-30 lbs.

Required Work Hours

Monday - Friday, 8:00 AM - 5:00 PM

Benefits

The position offers a competitive pay range of $25 - $29 per hour, depending on experience.
