Role Overview: We are seeking a proactive, detail-oriented Administrative Assistant to provide high-level support across executive administration and project coordination. This role requires someone who can manage schedules, coordinate projects, track deliverables, and act as a key liaison between internal teams, clients, and vendors.

Key Responsibilities:

  • Manage and maintain executive calendars, schedules, and appointments.
  • Assist in planning, coordinating, and tracking project timelines, milestones, and deliverables.
  • Prepare, edit, and maintain project documentation, reports, presentations, and correspondence.
  • Coordinate meetings, conference calls, and travel arrangements for executives and project teams.
  • Serve as a liaison between executives, internal teams, clients, and vendors.
  • Track deadlines, dependencies, and follow-ups across multiple projects.
  • Implement and maintain organized office and digital filing systems for projects and administrative tasks.
  • Support process improvements to enhance efficiency and accountability across projects and operations.
  • Handle confidential and sensitive information with discretion.

Qualifications:

  • Proven experience in administrative support or project coordination, preferably in a fast-paced or high-level environment.
  • Strong organizational, multitasking, and time management skills.
  • Experience with project management tools (e.g., Asana, Trello, Monday.com, or similar).
  • Excellent written and verbal communication skills.
  • Proactive, detail-oriented, and capable of managing multiple priorities independently.
  • Professional demeanor and ability to work collaboratively with diverse teams.
